grade 9 student this is something.definitely that you're going to need to.know for your examinations that are.coming up.and so let's begin our objectives for.today we have three of them are you.going to be able at the end of this.lesson to state the six parts of a.formal letter you're going to have to.identify what it's contained in each.part of a formal letter and correctly.set up a formal letter in modified block.or format.you're gonna be looking at closed and.the open format and so before I go to.the next slide I want you to pay close.attention because by the end of this.lesson I really want you to know how to.set up a formal letter and so pay.attention as I bring up the next slide.and you'll be able to see those six.parts and how they actually set up in.the correct order in the letter so parts.of a formal letter looking at the.heading inside address salutation body.closing.and signature right and so ma'am I said.I want you to pay very much attention.close attention to what you're looking.at because I don't just have the words.on the screen you know how passively all.right if you look at the way I have each.labeling that's showing you how the.letter should be set up where the parts.each part should go and if you count.them there's six parts now they're.trying to take my time because I want.you to really look because the next.exercise I'm gonna be giving you I want.to see if you can remember how to set up.the letter and I know for some of you.your teachers would have gone over this.before and this is just a review and.that's fine okay some of you make you.know you might have forgotten you know.you do that sometimes.alright so let's go on and so do a quick.check check one let's see if you could.arrange to form a letter in the correct.order and I'm gonna ask you to at this.time look at the order that I have it.below can you remember what is the first.part of the letter alright you're.correct it is to Hedy what about the.second part a lot of you just writing.and writing okay let me check.adding okay so what's next.what's the next part inside address okay.thank you Murphy anything else this is.it what's the next part so they're.heading the inside address I need to.give you some help.anybody knows okay okay salutation.excellent.I think it's Marsalis waiting okay so.heading inside address salutation will.be the fourth part okay so after the.fourth part is the.the body and then we have the clothing.and the insights or is it it's a dress.the clothing and then the signature and.so that was pretty good.all right you did a excellent job.all right and so I have it on the side.too heading the inside address a.salutation so you guys were really.listening in class that's excellent.okay as you're remembering okay so the.body closing and the signature all right.I'm telling you um.the end of this lesson I want you to be.so confident and have so much.information about the formal letter that.you can do this with your eyes closed.okay.so you might say oh this is easy but I'm.gonna go and go into a little bit more.detail about each of these parts each.part of the formal letter okay so let's.go on and let's look at a heading first.of all I'm sure a lot of you if you look.at my notes there you can see and I see.a lot of questions coming in but let's.just go through the heading.it says the heading of the letter it.contains the sender's address so you're.the sender you're the person writing the.letter so your dress would go in the.heading of the letter and that also.contains to date okay so your address.and date a little bit about how its set.up the heading is in the top right hand.corner and um when you after you've.written your address it would be a.section where you'd have to skip a line.and then the date okay and I have an.example here for you to look at all.right so peal box your p.o box and then.we have the skip line there and then we.have March 31st we have the date there.so you get an idea of how to set it up.remember now I'm gonna be checking you.later so make sure you observe um how.it's set up.all right now the inside address that's.the second part and you can see in my.notes it follows the heading but it's.not on the same side okay the inside.address would come alright um it even.though it falls it it comes on the other.side there is a skip line after the.heading and it contains a lot of stuff.it can change the person the name of the.person you're writing to their job title.okay where they work and then we also.need their dress in there which would be.their p.o box as well as the country.that they live in okay and so we let it.get a quick look how that looks so if.you writing a letter to the Minister of.Education alright and I'm sure someone.be like I know I said that.I know I know I look so I'm just gonna.give you an example all right.so honorable geoffrey lloyd Minister of.Education what does he work Ministry of.Education steel box I just made that up.I'm then Nassau Bahamas okay now in on.the BJC they're not gonna penalize you.if you make up the peel box the numbers.alright so we go on to the third slide I.don't know if anybody check and see if.anybody has any questions.oh I think y'all were giving me the.answers and I wasn't scrolling down to.see no you're so smart to the other side.okay I don't see any questions so far.yeah you can type in if you have a.question you can type in okay we don't.mind you typing in alright so let's go.on to the third part of the formal.letter come on this is a learning lesson.alright I want you to learn something.okay so after the inside address we have.the salutation a little pick you can't.really shake hands anymore you're.discouraging us right okay.salutation it's a form of greeting and.you know one way that we agree to.shaking hands okay so this this is your.greeting it's in the left hand corner.right underneath the inside address and.it contains the person's title and their.last name the last name of the receiver.the person was getting the letter going.to be receiving the letter all right and.so what would the salutation remember.earlier we had said if you remember my.example in the inside address I had the.Honorable Geoffrey Lord his full name.when we get to the salutation we don't.need his first name in the citation we.just need the Honorable I have my.example so let me just show you so we.just need dere honorable boy okay and.you know this punctuation mark that.follows alright our next section body.the body of the letter love my body.builder on the side flexing his muscles.we can notice that the body of the.letter contains the meat of the letter.it contains the information it comes.right after the salutation we don't skip.a line three paragraphs is what we.normally look for and we wanted to set.up similar to how you would set up your.essays with an introduction body.conclusion but it's just not as long.because remember in the previous lesson.I told you that these letters are.written to business persons and so they.don't have a lot of time and so we want.the body of your letter to be no more.than a hundred words okay just a hint.something that's a pet peeve for.teachers when you are writing and you're.writing your paragraphs please just.indent do not skip a line to indicate it.in paragraph okay just in debt alright.so the body contains all the meat of the.of the letter and I have an example here.alright and so I see a whole lot of.questions can everyone talk you can okay.alright someone is accent yes you can.you can take down information I may be.going a little fast but the this.information should be available on the.site all right all right next closing.okay we're almost to the and not quite.it though it's a form of goodbye and.this is file in the right hand corner it.follows the last paragraph in the letter.and we just skip a line a line after.that last paragraph when we write our.closing on an example of that is.sincerely anybody has another example.can anyone give an example another.example decides sincerely if you want.you know write it in the chat any other.example okay see someone asking if they.use mr. Lloyd in the letter you won't be.penalized for doing that but just try to.consistent make sure mr. white is the.same thing you used in the inside.address okay so if you say mr. Jeffrey.Lloyd and inside address and then you go.to the salutation and you say they are.mr. Lloyd you won't be penalized then.but if there's a discrepancy then it's a.problem all right yes you can use.transitional words I see your question.now my question was this oh good oh my.goodness yours truly yeah okay so we've.had some teaching going on in school.okay so I see truly yes so there are.examples of the clothing that you can.use I'd I to tell you the truth I.normally would tell my students remember.sincerely that's easy to remember one.word but remember to spell it correctly.all right so let's go on to looking for.my bar I don't know wait all right let's.go on to our next slide the signature.which is the last part the sender's.first and last name so you're writing.the letter and so we're looking for your.first and last name clearly written now.I know how you go okay um think about it.when you're writing your signatures and.you're practicing you want to do all.that scribbling and you know fancy stuff.but in the formal letter okay we're.looking to see your name clearly with.okay and it's normally in the right hand.corner and we know that it should be.lined up in my example is already on the.screen your name is John Smith you could.spell out your full name okay don't.don't put the initial and then the last.name try to put the full name and make.sure it's clearly written all right let.me just check and see if anybody has.okay let's check the questions because.that's the last part.all right so quick check let me go back.as you can look at the questions all.right we're gonna do a quick check of.what we just did all right and you were.listening you were really listening and.I'm really impressed with what I'm.seeing you know I'm proud of you.students who've been listening you've.been paying attention and you've been.asking questions now I want to ask you.some questions.okay what can somebody tell me I'll go.here how many parts from the notes me.said how many parts are there to the.formal letter easy question you should.be rushing to do that so if you know you.can just put the answer there okay yeah.I'm seeing the answers of city answers.if a persons who had a little black just.now at six.okay it's six parts all right what about.whose address goes in the heading whose.address goes in the heading all right.I'll wait my descenders excellent.excellent.all right the next one is which order do.we place the information in the inside.address the order what comes first what.comes next.let me see if someone can get this one I.don't see anybody yet the order like.what comes first no no we don't mean I.don't mean the order of the letter but.for the inside address does anybody know.okay see the person's name okay I don't.see many persons give you one more.chance.all right for the inside address when we.look at it for the inside address.remember I said that you need the name.of the person their job title all right.where they work their address okay and.then the country after so Jeffery Lloyd.I don't know we can go back you can look.back at that one kiss I don't see I.didn't see anybody answer that one so.let's go back to where that is all right.so we have his name kissed his position.where he works.the peel box and the country so think.about it if you had to write a letter to.ok see all sorts of responses come in.it's a personal property.do that I do that if you have to say.right to your principal all right my.principal is mr. to have.because remember the length is important.okay didn't see how many responses with.that one but it's coming in I'm sure you.got that one as well.why am I seeing light no okay so I need.to repeat this okay we are only looking.for three that's the least that the.mostly one okay three paragraphs okay we.want the the we want at least a hundred.words okay so five paragraphs of the.essay okay five of my progress but the.formal letter we only need three.paragraphs introduction body conclusion.all right because remember who you are.directing this letter to persons in the.business field they don't have time to.read our to three pages all right so.remember that we only need like a.hundred words okay I know some of you.got that but some questions so putting.like five I'm not gonna say who they are.but some putting like five and six and.nine marks my next question whose.signature goes at the end of the formal.letter will love this y'all are.responding I'll go with the first one.oh wait yeah remember this when.it's time for the exam all right seven.can you list the part.arts of the formal letter I'll give you.a few seconds list of parts you remember.with number one you would have said that.the letter has six parts tell me the six.parts and see you can do it in the order.in order in the crack order like how we.did it earlier okay LIC is the heading.am I missing.oh I asked can you list the parts okay.alright I'm seeing you guys listed and.I'm happy with that I'm seeing it I'm.seeing it I'm see I don't know you only.can type in a little bit at a time but.and that's fine but I'm sure that you.would have done it and I'm proud of you.the six parts are the heading the inside.address followed by the salutation the.body the closing and the signature.alright the heading the inside address.salutation the body the closing and the.signature and that's the end of our.quick check - okay I think you did an.excellent job nice job.alright so let's go on to our next slide.and this is pay attention to this.because this is a part of our objectives.okay ma'am I mentioned in one of our.objectives that you want to look at the.close format an open format and this is.simple in your classes when you're.writing your letter I'm sure some of.your teachers would have told you or.taught you that you need to put.punctuation marks at the end as you.write all right we call that you call it.the format a little the setup of the.letter okay and there's there's a.certain way that the letter is set up.and so as I go through this pay.attention cuz you remember I spoke to.you earlier about the setup okay so we.have the heading that's in blue inside.address that's in red.it's salutation body closing its.signature all right and so if you look.at that nicely close all close really.means is that we expect.q for the heading the inside address the.salutation closing and signature you're.gonna notice that their punctuation.marks at the end of each line I hope you.can see that all right if you aren't you.can tell me but you notice a comma is at.the end of the box Nassau Bahamas full.stop 16th of March . you see the comma.comma comma comma ok the full stop Astor.dice Obama's and then the colon after.deer on a Beloit sincerely comma.okay so that's all that fancy words so.much that's all that means.all right and so just remember that.notice the set up of the letter it's.very important because if you don't have.to set up the letter set up correctly.you lose marks you want to get us as.many of those 10 marks as possible all.right now the next type of format is.called the open format alright the same.way but the only difference is um some.students not this one because you don't.use as many punctuation marks all right.and so you'll notice you have a comma.after Nassau Bahamas oh I often a saw.you had used the comma here in the.inside address and then you have the.colon there by Lloyd Connor after.sincerely okay.and so you don't need you don't use as.many punctuation marks with the open.format all right I would normally tell.my students because you penalize if you.forget where it's set up I normally.would tell my students use it throughout.that's the way I teach that's the way I.roll okay so you can put the commas to.me everywhere so I prefer to me I prefer.the clothes or my alright so you can.have a look at the clothes format I just.want to check up and see if anybody has.any questions about the closed and open.format.alright see someone saying hello.anonymous attendee alright I see mod you.got all those parts and one girl but my.question is if you have any questions.about the open and the.you can act and I'll try to respond to.it sometime in this lesson alright so.let's go on to this activity here it's a.simple activity.I had the letter the parts all over the.place alright and if you would just look.at it and you can respond by telling me.what would go first how it would be.arranged if you want to do this activity.later on when you have time.I know that your fancy phones and stuff.you probably could do a screenshot and.do it yourself.all right but notice how it's mixed up I.have the inside address and I hope you.notice that it's mixed up and you don't.think this is the correct way to set up.all right and so just have a look at it.and I'll be able to see if persons could.just tell me what is the first part that.needs to be there I can
